Big Bash 2020 AGM meeting COVID safe via ZOOM 3.11.2020

Thank you to the everyone who has contributed to the meeting agenda and also those who attended the practise sessions and AGM itself. The AGM Meeting was very well attended and respectively conducted in a COVID friendly and safe manner. Thank you.

Agenda items
1 - Committee members - roles / responsibilities /
Mike Dodd standing down
Proposal Andy Waite elected to committee as chairman
Other committee members Glen Hanysz, Jasper and Leo Martin.

Jasper currently acting treasurer and match secretary duties and was thanked for his efficient and hard work in this difficult year

2 – Complaints
None received

3 - Rules / changes / new / old
Discussion points,
Weighing in raised by Glen and fact 2 guys have left fish in nets which has cost them. Weighing in bucket to help support weigh bag to try prevent this happening. Jasper to purchase a large builder bucket
Nets in lake earlier raixed by Mick Roche, most fisheries insist on 10/15 minutes pre match start time. Glen to blow single whistle to signal nets in. Guests to be reminded of club rules and not to put nets in early.

4 - Match fee and payment options ( inc super pools option)
Agreement on £20 standardise payment being made every match. Lakes where pegging fee lower excess payments put back into standard pay-out format to boost winnings. 
Amendment
Where pegging fee is lower than the £8.00 average then standard pay outs will remain the same and any savings made on pegging fee will be put back into the club funds to assist where fisheries charge more than £8.00..

5 - Live draw / draw on day
Discussion on current live Friday draw and possibility of it happening on Thursday dismissed to stay on Friday at 7pm
Discussion on arriving at lake and why not everyone turn up at 8:30. There is no set time being applied and it generally reduces risks of congestion, assists in social distancing and pressure on tackle / bait shops.
Carry on as we have been doing. Only time this may change is such as Osprey where cars may have to travel in convoy to their pegs and this will be announced at the draw.

6 – Venues
2021 venues already booked. 2022 will try to increase park behind peg venues and less risks of walking/ pushing barrows to pegs.

7 - Forum / Facebook / Social media
Continue to use both forum and Facebook.
Match bookings etc. on forum.
Facebook membership to be limited to summer / winter league members only.
Forum has recently moved across to a new host and also been updated to accept spreadsheets and photos which will be a lot easier for admins to populate.

8 - Hosting of pictures / documents on the forum
We are now using a new host site so have this facility as point 7

9 - Only booking lake where we can park behind all pegs
To be considered in 2022 as point 6

10 - Pay out options
Good discussion on a few options.
Current payout is winner and 2st and 2nd in sections.
Proposal Max, first, second and 1st and 2nd in sections. Current funding
Proposal Mick Roche Payout 1st, 2nd and 3rd and section winners, current funding.
Discussion resulted in a forum vote on 2 options to include membership not at AGM as current ruling was voted in from full membership.

11 - Rod / Pole only matches

12 - Silver fish match only

13 - Natural venue option
Items 11,12,& 13 discussed together. These points raised to add variation to match calendar, meeting recognised hard selecting venues to suit above and also fact we may receive a lower take up. Suggestion could be to use knock ups as an option for above

14 - Membership numbers,
The 2021 summer league post was made to gauge opinions and numbers required and 3 new names are on the list whilst we have 3 x 2020 members not responded as yet.
Action, Glen to ask the 3 members if they are wanting to join 2021 league.
As yet Big bash AC has never refused anyone a membership but we do need to know the numbers in advance of the year in case peg bookings need to be adjusted

15 - Pegging numbers,
Dependant on membership numbers.
Booking 25 pegs offers the risk of high costs if not all pegs taken up. May need to work on first come first served if member's numbers are greater than pegs available

16 - Number of matches,
AGM attendance happy with number of matches being booked for the season

17 - Number of friendlies,
AGM attendance happy with the friendly knock up options

18 - Timings of confirmations and paying on Right balance?
Long discussion as it is taking a lot of match organiser' time chasing confirmations and payments
Currently we ask on forum for confirmations 7 days in front of the next match. This to be made at midnight when if names not confirmed they will be removed and guests advanced onto booking.
Second discussion on pre payments and if the money asked should be pegging fee and or full match fee of peg and pools. If a no show then this would be lost as a "fine"
Max Proposal of £20 pre-payment put forward to forum vote or stay as is with £8.00 peg fee for no show

19 - COVID responses and safety of membership.
Is the AGM happy with the committee management of the COVID situation and are any amendments required?  The use of a builder bucket to support weigh bag will improve current method

20 - Commemorative award/ trophy for Jack and event if required.
Suggestion of purchase of a Legends trophy with Ferrets and Jacks names added to be fished for over the legends 2 match weekend.

21 - Afternoon matches
There is a afternoon match added in 2021 calendar on Loco as a variation which the AGM endorsed to carry on this option in 2022 bookings

22 - Ranking league positions and sections split out depending upon ranking
This option was withdrawn following earlier discussion on pay outs.

club finances to be forwarder via email to membership
Summer league currently last match is at Springvale on 14th November and is dependant on Government rulings and also SpringVale as to if it goes ahead or not. If match is fished then the league position will be decided on the day. if match is unable to go ahead the league positions will be as they are now.

I see just one amendment or clarification buddy

Item 4 - when fisheries charge a lower pegging fee the payout isn't raised but kept at the standard, the extra money goes back to the club to assist in keeping the standard payout when other fisheries charge more or less anglers turn up.

Guys,

Can those who attended the AGM please endorse the minutes above if they represent a correct representation of what was discussed so we can move on with some of the actions.

The two votes have been posted as requested and also 3 members names checked in for 2021 summer league as requested.

We are looking for agreement and closure of the meeting minutes for Thursday 12th November so we can close the summer league and payments can be made where due.
